This Privacy Policy describes how IQ Technologies N.V. ("we", "us", or "our") collects, uses, and protects personal information when you use Capio (the "Service"). By creating an account or using the Service, you agree to this policy.

Information we collect
We collect information you provide directly and information generated through your use of the Service:
- Account information: name, email address, password (stored hashed), and subscription plan.
- Meeting content: audio recordings, live caption streams, transcripts, speaker labels, translations, summaries, meeting notes, and related metadata you upload or generate.
- Billing information: plan selection, payment receipts you upload, and invoice records for paid subscriptions.
- Usage information: minutes transcribed, feature usage, quota consumption, and basic activity needed to operate and secure the Service.
- Technical information: IP address, browser type, device information, session data, and server logs used for security, troubleshooting, and abuse prevention.
How we use your information
We use personal information to:
- Provide transcription, live captioning, translation, and AI-generated meeting outputs.
- Authenticate users, manage accounts, and enforce subscription limits.
- Process billing, verify payments, and communicate about your subscription.
- Improve reliability, security, and product performance.
- Respond to support requests and legal obligations.
AI and transcription processing
To deliver the Service, meeting audio and text may be processed by third-party AI and speech providers under our instructions. We configure these providers so your content is used only to deliver the Service to you — not to train their public models.
Because meetings may contain sensitive business, personal, or confidential information, you are responsible for ensuring you have the right to record and upload content, and for informing meeting participants where required by law.
Chrome extension
The Capio Chrome extension lets you record and caption online meetings running in a browser tab. It only captures audio after you explicitly start a recording or caption session, and it stops the moment you end it. Captured audio consists of the meeting tab's sound and, if you have granted access, your microphone.
Audio captured by the extension is sent directly to your Capio account over an encrypted connection and is processed and retained exactly like recordings made in the web application. The extension stores an access token for your account in your browser's extension storage; it does not collect your browsing history, page content, or any data from tabs you are not recording. You can disconnect the extension at any time from the extension itself or from your account settings, which immediately revokes its access.
As with all recordings, you are responsible for informing meeting participants and obtaining any consent required by the laws that apply to you before recording or captioning a meeting.
Data retention
Meeting data is retained according to your subscription plan and organization settings. Free accounts are subject to shorter retention periods; paid plans include longer retention. When retention periods expire, meeting content is deleted automatically.
Account and billing records may be kept longer where needed for legal, tax, or fraud-prevention purposes.
Security
We protect data using industry-standard safeguards, including encryption in transit, access controls, and tenant isolation between customer accounts. No method of transmission or storage is completely secure, but we design Capio for organizations that handle confidential conversations.
Sharing of information
We do not sell your personal information. We may share information with:
- Service providers that help us host infrastructure, process audio, generate transcripts, send email, or operate billing.
- Team members within your workspace when you use team features and share content inside your organization.
- Authorities when required by law or to protect rights, safety, and the integrity of the Service.
Your choices and rights
You can access and update account details from your settings. You may delete meetings within the Service subject to your plan and permissions. You may request export or deletion of your account data by contacting info@iqtholding.solutions.
Depending on your location, you may have additional rights to access, correct, delete, or restrict processing of your personal information. We will respond to valid requests within a reasonable time.
Cookies and sessions
We use essential cookies and session storage to keep you signed in and protect the Service. We do not use third-party advertising cookies.
International transfers
Your information may be processed in countries other than your own where our infrastructure or providers operate. When we transfer data internationally, we take steps designed to protect it in line with this policy.
Children
The Service is not intended for users under 16. We do not knowingly collect personal information from children.
Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy on this page and update the effective date above.
